Privacy Policy
Coin Capital Accounting LLC
Website: https://www.coincapitalaccounting.com
Effective date: January 1, 2020
1. Our standard
Coin Capital Accounting LLC (“Coin Capital,” “we,” “us,” or “our”) is a certified public accounting firm. We collect the least personal information reasonably necessary to operate this website, respond to inquiries, evaluate job applicants, and perform professional services.
We do not sell personal information.
We do not rent personal information.
We do not trade personal information.
We do not use client tax or financial information for advertising.
We do not share personal information with third parties for their own marketing.
Professional confidentiality for clients is stricter than this website policy. Website use alone does not create a client relationship.
2. Who this policy covers
This policy applies to information collected through:
coincapitalaccounting.com and its pages
email sent to our firm addresses
phone or video inquiries
job applications submitted to us
our client portal and document-exchange tools
This policy does not control Facebook, LinkedIn, Google, IRS systems, banks, payroll providers, or other independent platforms. Those services have their own policies.
3. Information we collect
A. Website visitors (no engagement)
We may collect:
Name, email address, phone number, and message content you voluntarily send
Dates and times you propose for a call
Technical data your browser sends in the ordinary course of visiting a site (IP address, browser type, pages viewed, date/time, referring URL)
Information you type into a form on this site
We do not require Social Security numbers, tax returns, bank logins, or financial statements to browse this website. Do not upload those items through a public web form or unencrypted email.
B. Prospective clients
If you request services, we may collect what is needed to evaluate the request and schedule a call: name, contact details, general description of services sought, and tax filings uploaded through our guest exchange secure portal.
C. Clients
We collect information reasonably necessary to perform the agreed work. That may include:
Identity and contact information
Taxpayer identification numbers
Income, deduction, asset, payroll, banking, and entity information
Tax returns, source documents, K-1s, 1099s, W-2s, and similar records
Information from banks, payroll systems (such as Gusto), bookkeeping platforms, prior accountants, and taxing authorities.
Client information is used only to perform the engagement, meet professional and legal obligations, and communicate with you about the work.
D. Job applicants
If you apply, we may collect resume information, credentials, work history, and—if we proceed—information needed for a background and credit check, which we will disclose at that stage.
E. What we do not collect on this website
We do not knowingly collect from the public website:
Payment card primary account numbers through unsecured forms
Biometric identifiers
Precise geolocation for advertising
Browsing data from other websites for advertising profiles
4. Cookies, analytics, and tracking
We use only what is needed to operate and secure the site (for example, essential hosting or security cookies).
We do not use personal information from this site to build advertising audiences.
We do not sell or share personal information for cross-context behavioral advertising.
We do not honor “sale” of data because we do not sell it.
If a hosting platform sets its own essential cookies, those are limited to operating the site. If we later add a non-essential analytics or marketing tool, we will update this policy before it is used to identify you.
5. How we use information
We use personal information only to:
Operate and secure this website
Respond to inquiries you initiate
Schedule and conduct introductory conversations
Provide professional services under a written engagement
Maintain books, workpapers, and required records
File returns and reports you authorize
Meet IRS, state tax, licensing, bookkeeping, and professional standards
Evaluate applicants
Detect security incidents, fraud, or abuse
Comply with law, court orders, and professional regulation
We do not use client files to train public AI models. We do not use your tax data to market unrelated products.
6. Legal bases we rely on (where applicable)
Your request for a response or services
Performance of a client contract
Legal and professional obligations (tax law, recordkeeping, CPA ethics, FTC Safeguards Rule, and similar rules)
Legitimate interests limited to operating a secure professional practice—not advertising
7. How we share information — narrow list only
We share personal information only in these cases:
Service providers bound to confidentiality
Hosting, email, client portal, e-signature, bookkeeping software, payroll processors, tax software, and similar vendors, solely to perform their function for us, under restrictions against using your data for their own marketing. As you direct
For example, speaking with your banker, attorney, or prior accountant when you ask us to.Taxing authorities and legally required filings
IRS, state tax agencies, and other authorities when filing or responding as part of authorized work or legal duty.Professional and legal compulsion
Valid subpoena, court order, government demand, licensing inquiry, or as required to defend legal claims or prevent serious harm.Business transfer
If the firm is merged or sold, client files transfer only to a successor bound to professional confidentiality. We will not treat a sale of a mailing list as a permitted transfer.
We do not share personal information with data brokers.
We do not share personal information with advertisers.
We do not disclose client nonpublic personal information to nonaffiliated third parties for those parties’ marketing (Gramm-Leach-Bliley / Regulation S-P style restriction).
8. Client confidentiality
For clients, AICPA and state CPA confidentiality rules apply in addition to this policy. Staff and contractors receive access only on a need-to-know basis. Client documents should move through our designated secure portal—not public website forms, social media, or ordinary unencrypted email when a secure channel is available.
A Facebook group or social post is not a confidential client file.
9. Retention
Website inquiry messages: kept only as long as needed to respond and for a short administrative period, then deleted or minimized, unless they become part of a client file or legal hold.
Client records: retained for the period required by tax law, professional standards, and our engagement terms (often at least seven years for tax workpapers, longer if law requires).
Applicant records: retained only as long as needed for hiring and applicable employment-record rules.
Server logs: retained for a limited security period.
When retention ends, we delete or irreversibly de-identify information we control, except where a legal hold applies.
10. Security
We maintain administrative, technical, and physical safeguards appropriate to a CPA firm handling tax and financial data, including:
Access limited to personnel who need it
Unique credentials and multi-factor authentication where systems support it
Encryption in transit (TLS) for this website
Secure portal use for client documents
Vendor review for systems that hold client data
No method of internet transmission is guaranteed secure. Do not send Social Security numbers, full bank account numbers, or complete tax returns through an unsecured public form.
11. Your choices and rights
You may:
Decline to provide information (some features or services will not work)
Ask us what personal information we hold about you as a visitor or client, subject to professional and legal limits
Ask us to correct inaccurate contact information
Ask us to delete information we are not required to keep
Opt out of any optional firm newsletter (we do not use client tax data for that purpose)
Leave our social groups at any time
Residents of states with privacy statutes (including California and other comprehensive-privacy states) may have additional rights to know, delete, correct, and opt out of sale or sharing. We do not sell or share personal information as those laws define those terms. To exercise a request, email Jeremy.Bashan@coincapitalaccounting.com. We will verify the request before acting. We will not discriminate against you for exercising privacy rights.
We cannot delete returns already filed with tax authorities, or records we must keep by law.
12. International visitors
We operate in the United States. If you contact us from outside the U.S., you understand your information will be processed in the United States, where laws may differ from those in your country.
13. Children
This website is for adults. We do not knowingly collect personal information from children under 13. If you believe a child provided information, contact us and we will delete it from systems we control.
14. Do Not Track
This site does not alter its data practices in response to browser “Do Not Track” signals because we do not use visitor data for third-party advertising. We still collect only what Sections 3–5 allow.
15. Third-party links
Links to IRS, state agencies, software vendors, or other sites are not covered by this policy. Review those sites before submitting information.
16. Changes
If we change this policy in a material way, we will post the updated version on this page and change the effective date. Continued use of the website after the new date means the updated policy applies to website collection from that date forward. Client engagements remain governed by the engagement letter and professional rules.
